September ExCom Minutes

The meeting was called to order at 11:30 by Patty Kohn. In attendance were Tracye Dominici, Louanne Duckworth, Marcie Everhart, John Haubrich, Max Hedges, Patty Kohn, Jon Lundeen, TJ Lundeen, Angela Mabray, and Billy Mabray. Nancy Park joined the meeting later.
In the first order of business, the ballot count was made official. The new ExCom consists of Marcie Everhart, John Haubrich, Patty Kohn, Jon Lundeen, and Billy Mabray. The group voted unanimously to appoint the ExCom duties as follows: Jon Lundeen, LocSec; Billy Mabray, Deputy LocSec; Patty Kohn, Treasurer; John Haubrich, Membership; and Marcie Everhart, Events Coordinator. Billy Mabray was appointed to continue as webmaster. Angela Mabray was appointed to continue as editor. TJ Lundeen was appointed as PR Chair. The mediator, ombudsman, and SIGHT coordinator will remain unchanged. Max Hedges was appointed auditor for the annual audit required by the bylaws. Tracye Dominici was appointed as testing manager.
Marcie discussed events for October, asking whether we should have a speaker meeting or a Halloween party. Louanne suggested both. The finalized events will be posted in the newsletter.
Louanne advised that a good source of speakers was the local university speaker’s bureau. They will make arrangements for a speaker, leaving the events coordinator to pick a place and time.
TJ said there is a problem with new members not receiving the Mensokie until their name makes it on American Mensa’s labels — sometimes a couple of months. We need to send out samples of the Mensokie as soon as a membership offer is extended. John offered to keep track of membership offers and be sure they receive the newsletter.
Jon suggested holding the ExCom meetings just before the big meeting of the month. The group discussed the idea and decided we might try this later, after football season. The group also discussed the time of the morning meetings. A general consensus was reached that future morning meetings should be held at 10 a.m.
TJ reported that COM has been testing new members about every 6 weeks and hopes to be testing every month. Tracye found a new venue for testing, Local Oklahoma Bank’s training facility. This will allow us to test more people at a time — probably between 20 and 40 people. This is expected to be especially useful for the National Testing Day on October 19.
A new process was discussed to ease the problem of no-shows for testing sessions. If a person signs up for a test session, but misses it without giving notification, they will need to make a deposit if they sign up for another testing session. They will be required to send in a $15 check made to Central Oklahoma Mensa. If they show up for the test, the check is returned to them uncashed. If they don’t show up for the test, it will be deposited into the COM treasury. Marcie moved that this policy be put into effect. Billy seconded the motion, and the vote was unanimous in favor of the new policy. This policy will be included in the first letter sent to testees.
Billy moved that the meeting be adjourned. Marcie seconded the motion. The meeting was adjourned at 1:10 p.m.
